Regional Accounting Assistant

Neel-Schaffer, an Engineering News-Record Top 250 Design firm, is seeking applications from qualified individuals for an experienced Regional Accounting Assistant to work full-time in our Birmingham (AL) office. This position will play an integral role in supporting the Regional Controller by providing accounting support. Qualified candidates will have excellent communication skills, a strong ability to multi-task, meet deadlines, and be organized and detail oriented.

Essential duties and responsibilities include:

  • Review, complete, and approve project set-up in VantagePoint Accounting System
  • Assist with multi-state monthly billing in Accounting System
  • Create and process invoice adjustment documents
  • Run various reports (AR, Utilization, Backlog, Month-end Reports, etc.)
  • Complete custom invoices for Departments of Transportation (DOT) in multiple states, as well as private clients
  • Submit invoices electronically to DOTs
  • Assist with receipt disbursements for daily payments
  • Update multiple spreadsheets weekly
  • Complete various regional projects as assigned
  • Assist with business license and personal property tax returns
  • Assist with Regional Fleet Management

Education and/or experience:

  • 3-5 years of experience in finance/bookkeeping (degree is not required)
  • Engineering/Construction experience is a plus
  • Ability to manage large excel spreadsheets and custom invoicing
  • Ability to learn quickly, take initiative, and problem solve
  • Ability to work independently as well as with diverse Project Managers throughout the Region
  • Possess excellent math skills and good interpersonal skills
  • Excellent time management skills and sense of urgency in meeting deadlines
  • Experience with Deltek Accounting Systems: Project Set up, Billing, Reports, AR, AP
  • Should be strong in Microsoft Office including Excel, Word, and Outlook
